Job Purpose
The Logistics Planning Assistant will support the Logistics and Planning Manager by liaising directly with internal departments and third-party warehouses and hauliers. This role is crucial in ensuring the efficient and timely delivery of orders, maintaining accurate documentation, and supporting logistics planning processes.
Key Responsibilities
- Order Notification:
- Ensure all orders are communicated to third-party companies with sufficient lead time for delivery.
- Delivery Coordination:
- Confirm the completion of all planned deliveries with third-party companies and report any failures or shortages.
- Shortage Reporting:
- Generate and circulate a daily shortage sheet with clear explanations for any shortages.
- Order Confirmation:
- Work with the Logistics and Planning Manager to confirm all orders are dispatched from Gembase on the delivery day.
- KPI Reporting:
- Generate a weekly Logistics KPI document, reporting on:
- On-Time In-Full (OTIF)
- Average pallet cost delivered
- Average order size
- Locations with multiple deliveries in a week
- Generate a weekly Logistics KPI document, reporting on:
- 3PL Transactions:
- Manage inbound and outbound stock movements on Gembase for third-party logistics (3PL) warehousing.
- Advanced Shipping Notices (ASN):
- Ensure all third-party companies submit ASN to customers as required.
- Sample Management:
- Oversee the end-to-end process of sending samples from site to customer.
- Export Documentation:
- Prepare and generate all necessary export documents and veterinary certificates for order dispatch.
- Role Coverage:
- Cover basic roles of the Logistics and Planning Manager during their holidays and absences.
- Stock Counts:
- Conduct stock counts as needed.
- Documentation Management:
- Ensure all inbound documentation is properly filed and accessible.
- Stock Management:
- Oversee stock management and rotation at 3PL facilities.
Qualifications and Skills
- Previous experience in logistics or supply chain management is preferred.
- Strong organizational and communication skills.
- Proficiency in using logistics software.
- Ability to work independently and manage multiple tasks simultaneously.
- Detail-oriented with strong problem-solving abilities.
- Proficiency in Microsoft Office Suite, particularly Excel.
